25Live Implementation
The 25Live academic and event scheduling system offered by CollegeNET is replacing Ad Astra at Santa Clara University. This transition to 25Live will streamline and centralize the scheduling process for all spaces and events on campus. This includes, but is not limited to:
- Classroom Scheduling: For all academic courses.
- Event Scheduling: For student organization meetings, guest speakers, performances, and more.
- Conference Rooms: Across all departments and buildings.
- Outdoor Spaces: For events and activities held on university grounds.
- Any other events or reservations requiring the use of campus facilities.
We understand that a change in systems can raise questions, and we want to assure you that we are committed to making this transition as smooth as possible. 25Live offers a modern, user-friendly interface and enhanced features that will ultimately benefit all members of our university community by providing:
- Improved accessibility and visibility of available spaces.
- A more intuitive and efficient scheduling process.
- Enhanced communication and coordination for campus events.
- Greater flexibility and control over scheduling requests.
It is important to note that Faculty and Staff should continue to book their events and spaces within the current Ad Astra system at this time.

A: 25Live is a comprehensive event scheduling and space management software designed for colleges, universities, and other institutions. It helps manage and streamline the process of scheduling classes, booking rooms, planning events, and coordinating resources.
Santa Clara University is switching from Ad Astra to 25Live to create a centralized, modern, and more efficient scheduling system for the entire campus. Ad Astra, in use since 2004, has become outdated and difficult to use and its limitations make it unsuitable for SCU’s current needs. Most importantly, a centralized system like 25Live is critical for supporting campus-wide coordination, planning, and emergency response by providing accurate, real-time information about space usage. Fully supported by President Sullivan, 25Live will streamline scheduling, enhance communication, and improve coordination across all departments.
A: We are currently in the very early stages of the implementation process and hope to share a launch date with the university soon.
A: Yes, there will be various training opportunities and resources to help both users and approvers navigate the system.
A: Part of the implementation project plan is to migrate reservations and other data from Ad Astra as well as other systems of record. Our aim is to bring over every reservation made in Ad Astra until we are fully live with 25Live. It is important to note that Faculty and Staff should continue to book their events and spaces within the current Ad Astra system at this time.
A: Yes! 25Live is very user-friendly and can be easily accessed on your phone, tablet, or computer.
